Coach Hire Conditions
1. APPLICATIONS Our standard coach hire conditions of booking apply whether a booking has been made verbally (in person or by telephone) or in writing.
The client acts on behalf of all passengers on-board the vehicle(s) and is responsible for the actions and decisions of all passengers.
2. QUOTATIONS Unless stated otherwise, Stacey’s Coaches Limited will supply all quotations based on the most direct route(s) and the route(s) will be at the discretion of Stacey’s Coaches Limited. Any variation to the original route may result in a surcharge to cover costs. All coach hire quotations are valid for a period of 28 days.
3. USE & RETENTION OF THE VEHICLE Please note the client cannot assume use of the vehicle(s) between the outward and return journeys, nor to remain at the destination for the hirer’s use unless this has been previously agreed with Stacey’s Coaches Limited.
4. DRIVERS HOURS The hours of operation for all coach drivers are regulated by law and the hirer accepts responsibility of ensuring the hire keeps to the hours and times agreed by the company. Neither the client nor any passengers shall delay or otherwise interrupt the journey in such a way that the driver is at risk of breaching regulations relating to driving hours and duty time.
5. SEATING CAPACITY Stacey’s Coaches Limited will specify the legal seating capacity of the vehicle(s). The client must not load the vehicle beyond the legal capacity. Coach drivers will not carry any extra passengers over and above the legal seating capacity of the hire vehicle.
6. CONVEYANCE OF ANIMALS No animals (except guide dogs and hearing dogs notified to the company in advance) may be carried without prior written agreement from the company.
7. CONFIRMATION OF COACH HIRE BOOKING Written confirmation of all bookings will be supplied by Stacey’s Coaches Limited.
8. DEPOSIT & BALANCE PAYMENTS No coach hire booking(s) can be confirmed until the minimum specified deposit payment (usually 25% of the total hire cost) has been received by Stacey’s Coaches Limited. Unless agreed by the company in advance, any outstanding balance is due no later than 30 days before the hire date. For convenience we accept payments by cash and cheque as well as most credit and debit charge cards. A charge of £1.75 will be levied.
9. CANCELLATION BY HIRER The cancellation of a confirmed coach hire booking is only effective when received in writing from the client. This is requested to save guard both parties from any future misunderstanding and confusion.
Please note the following cancellation charge(s) will apply:
Period of notice and cancellation charges
31+ days before hire date = Loss of deposit only
15 - 30 days = 50% of hire charge
Less than 14 days = 100% of hire charge
Please note the above cancellation charges apply to coach only hire.
Concerts, Theatre and Sporting Events
Tickets for any of the above, booked in conjunction with a coach hire, are non refundable.
In the event of hotel accommodation, meals and tickets for attractions (including concerts and theatre shows) booked by Stacey’s Coaches Limited on behalf of the client then these suppliers may request full payment. In this event the client agrees to reimburse Stacey’s Coaches Limited for any financial loss due to cancellation.
10. CANCELLATION BY THE COMPANY In the event of any emergency, riot, civil commotion, strike, lockout, stoppage or restraint of labour or the happening of any event over which Stacey’s Coaches Limited has no control (including adverse weather and road conditions) then Stacey’s Coaches Limited may cancel the contracted booking(s) and return all monies paid without any subsequent liability.
11. VEHICLE SPECIFICATION Stacey’s Coaches Limited reserves the right to supply an alternative vehicle, should the original vehicle confirmed be unavailable on the day of hire for whatever reason.
12. DELAYS & MECHANICAL BREAKDOWNS Stacey’s Coaches Limited gives advice on approximate journey times in good faith. However, as a result of traffic congestion, mechanical breakdown or other events beyond the reasonable control of the company, journeys may take longer than originally predicted and Stacey’s Coaches Limited can not be held liable for any loss (financial or otherwise) suffered by the client as a result of such events.
13. PASSENGER PROPERTY All vehicles supplied by Stacey’s Coaches Limited are subject to certain restrictions on carrying luggage for statutory safety reasons. The client accepts that the driver shall be the sole judge as to whether and to what extent passenger property is carried. Please note the company is unable to accept liability for loss or damage to any property left unattended on-board a vehicle. Any unclaimed items of property will be returned to our main depot and logged accordingly. You are welcome to call at our depot to recover such items.
14. CONDUCT OF PASSENGERS Your coach driver is responsible for the safety of the vehicle at all times and may remove any passenger(s) whose behaviour and actions prejudices safety or is in breach of the Public Service Vehicle (Conduct of Drivers, Inspectors, Conductors and Passengers) Regulations 1990. The client is solely responsible for any damage caused to the vehicle by any passenger for the duration of the hire. There are restrictions relating to the consumption of alcoholic drinks on-board a vehicle particularly (but not limited to) vehicle hire to sporting events.
15. SURCHARGES Stacey’s Coaches Limited reserves the right to apply a surcharge due to any increase in fuel costs, variation in UK VAT rates and any fluctuation in currency. On notification of any such surcharge the client may decide to cancel the booking in which case the above cancellation fees may apply. No surcharge will be applied within 30 days of the departure date.
16. COMPLAINTS In the unlikely event of a complaint the client should initially attempt to seek a solution by asking for assistance from a member of our on-board staff. Alternatively, you may prefer to contact our travel office.
If this action has not resolved the issue, complaints should be submitted in writing within 14 days of the termination of hire. Please be assured any complaint will be dealt with fairly by a senior staff member. Depending on the nature of a complaint, further investigation may be necessary. This being the case you will be kept fully up-to-date at all stages.
